Creating an AI Colleague

This guide describes step by step how to create a new AI Colleague in Atelyr.

💡 Start via the left menu → click 'AI Colleagues' → click 'Create your AI Colleague'.

Step 1 Choose name & language

Name

Give your AI Colleague a name. You can enter a name yourself, or click the arrow button on the right side of the text field to have Atelyr generate a name automatically.

Language

Choose the native language of your AI Colleague. The following languages are available:

– Dutch 🇳🇱

– English 🏴󠁧󠁢󠁥󠁮󠁧󠁿

– French 🇫🇷

– German 🇩🇪

💡 The language determines in which language the AI Colleague communicates with callers by default.

Step 2 Configure data security

Choose how important the data security of your AI Colleague is. This determines which providers Atelyr selects for processing data.

  • Maximum security: Data is processed in the EU, by an EU company. Atelyr prioritises EU data storage and EU-based companies.

  • High security: Data is processed by a GDPR-compliant company. The location of the company does not matter, as long as it is GDPR-compliant.

  • Best quality: Data may be processed anywhere. This gives access to the most powerful AI models with the highest quality.

💡 Not sure? Choose 'High security' — this combines a solid privacy foundation with a broad model selection.

Step 3 Choose priority: quality or speed

Indicate what the AI Colleague should prioritise when formulating answers.

  • Best quality
    The AI Colleague always chooses the most accurate answers, even if this takes a little more time.

  • Balanced
    A good balance between quality and speed. Suitable for most situations.

  • Fastest
    The AI Colleague responds as quickly as possible. Ideal for real-time conversations where every second counts.

💡 For telephone customer service, 'Balanced' or 'Fastest' is generally best — callers want to be helped quickly.


Step 4 View and adjust providers

Based on your choices in steps 2 and 3, Atelyr automatically selects the best combination of providers. Each AI Colleague works with three components:

Ears — converts spoken audio into text (Speech-to-Text)

Brain — understands questions and formulates intelligent answers (LLM)

Voice — converts the answers into naturally spoken words (Text-to-Speech)

You can always adjust the recommended choice. Below is an overview of all available providers:

💡 All provider settings can also be changed afterwards via the editing page of your AI Colleague.

When you are satisfied with the setup, click 'Train AI Colleague' to continue.

Step 5 Enter company information

Tell the AI Colleague about your company. The more context you provide, the better the AI Colleague will understand and represent your company.

  • Company name
    This is automatically taken from your account. Check that it is correct.

  • Company description
    Describe what your company does and what its mission is. Think about:

    • What products or services do you offer?

    • Who are your customers?

    • What makes your company distinctive?

💡 The more detailed and specific the description, the better the AI Colleague will behave like a real colleague who knows the company.

Step 6 Define roles & responsibilities

Specify what the AI Colleague should be able to help with. Atelyr offers standard tasks that you can add with one click, but you can also type in your own tasks.

Examples of standard tasks:

– Process orders

– Answer basic questions

– Provide product information

– Schedule or reschedule appointments

– Handle complaints

– Conduct sales conversations

– Provide technical support

– Take messages

💡 Only add tasks that are relevant to your situation. A focused AI Colleague performs better than one that tries to do everything.

Step 7 Choose a voice

Choose the voice that best suits your AI Colleague and the image of your company.

Available filters:

– Gender — male or female

– Accent — e.g. Dutch, Flemish, American, British, Australian

– Personality — e.g. Casual, Professional, Conversational, Formal

Click 'Listen' next to a voice to hear an example before making your choice.

💡 The voice choice can always be changed afterwards via the settings of the AI Colleague.

Step 8 Set personality & character

Determine how the AI Colleague behaves in conversations. You can choose multiple traits per category.

Communication style

– Professional — formal, business-appropriate tone

– Friendly — warm and welcoming

– Casual — relaxed and conversational

– Formal — polite, refined and structured

Personality traits

– Enthusiastic — shows positive energy in responses

– Patient — takes time and never rushes conversations

– Helpful — always willing to help and provide information

– Empathetic — shows understanding and compassion

– Confident — speaks with authority about company matters

– Humble — admits when something is uncertain

Response style

– Concise — short, to-the-point answers

– Detailed — extensive explanations and thorough information

– Conversational — natural dialogue with room for interaction

– Direct — straight to the point, without small talk

– Narrative — uses examples and anecdotes

– Probing — asks clarifying questions to better understand needs

💡 Match the personality to your target audience. Customer service for consumers requires a different tone than a B2B telephone agent.

Step 9 Set up tools & integrations

Give the AI Colleague access to the tools it needs. First select all the tools you want to activate, then configure them one by one.

Knowledge & information

  • Knowledge base — Upload documents (PDF, Word, etc.) that the AI Colleague consults when answering questions.

  • FAQ — Add frequently asked questions for quick and accurate answers.

Integrations & external services

  • Webhook — Connect the AI Colleague to external systems or software via HTTP requests.

Communication tools

  • Send email — The AI Colleague can automatically send emails to customers, team members or external contacts.

  • Transfer call — The AI Colleague can transfer a call to a human employee or department.

Calendar & scheduling

  • Calendly — Schedule appointments and meetings directly via a Calendly account.

  • Google Calendar — Manage appointments, create new ones and check availability.

  • Microsoft Outlook — Integrate with Outlook calendar and email for scheduling and communication.

💡 After setting up all tools, click 'Phone Setup' to proceed to the final step.

Step 10 Connect phone line (SIP)

The final step: connect the AI Colleague to your phone system. This makes the AI Colleague part of your team and allows you to transfer calls to and from them.

How does it work?

You create a SIP account in your phone system and link it to the AI Colleague in Atelyr.

💡 Ask your telephone provider for assistance in creating the SIP account — they will help you with the correct details.

Step by step:

1. Choose the country where you are active.

2. Choose your telecom provider. Not listed? Then choose 'Other (Custom SIP)'.

3. Enter the SIP username and password.

4. Enter the SIP domain.

5. Click 'Test SIP connection' to check the link.

6. Was the connection successful? Then click 'Deploy AI Colleague'.

Connection failed?

Check the entered details for typos. Everything correct but still not working? Then contact your telephone provider.

Step 11 Deployment & activation

After clicking 'Deploy AI Colleague', the configuration is processed. This takes approximately 30 seconds.

Once the deployment is complete, the AI Colleague is active and you can open them immediately and adjust further if desired.

✅ Your AI Colleague is now ready for use!

💡 Set up in your phone system when the AI Colleague should answer calls — e.g. always, during busy periods or outside office hours.
